GUIDE: Adding Contacts to a Supplier Profile
Note: This guide is for adding supplier contacts to an existing supplier profile.
If you need to create a new supplier profile first, please refer to this article: Adding New Vendors/Suppliers.
Steps to Adding Supplier Contacts
- Navigate to the Vendors section on the left-side menu
- Click on the supplier name to open their profile (you can use the search bar to find a specific supplier)
- Click on the Contacts tab at the top of a supplier's profile
- Then click the green Add Contact button
- A pop-up window will appear where you can enter the contact’s information
- The first name is the only required field
- To enable this person to access the portal and receive invitations to RFQs, Quality Claims, or other workflows, make sure to enter their email address
- You can choose to set this person as a default contact for:
- Sourcing – They’ll be automatically pre-selected for RFQs and other sourcing workflows
- Quality – They’ll be automatically pre-selected for Quality Claims, PPAPs and related workflows.
Even with defaults set, you’ll still be able to manage and customize contacts for each individual workflow.
Inviting Supplier Contacts to the Portal
By default, newly added supplier contacts do not have access to the portal.
If a contact is assigned to a task, such as an RFQ, PPAP, Quality Claim, or any other workflow, they will automatically receive an invitation to register for the portal along with the task notification. Therefore, you do not have to manually send suppliers an invitation to the portal.
However, if you prefer to manually invite a contact to the portal (even if they’re not currently involved in a workflow), follow these steps:
- Click on the contact’s name to open their contact details.
- Click the Invite to Portal button.
The contact will receive a unique invitation link via email. To successfully register, they must use the same email address that was added to their profile.
Letting Supplier Users Invite Their Colleagues
Once at least one person who is designated as a Company Admin from the supplier’s company has registered, they can invite additional colleagues to the portal themselves.
We provide a step-by-step guide for supplier users on how to do this: Inviting Other People at Your Company.
